PilotSuite (“we”, “our”, or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and share information when you use KitchenPilot, a product within the PilotSuite ecosystem, including the mobile app and this website.
1. Information We Collect
- Account Information: When you create an account, we collect your email address, display name, and authentication credentials through Firebase Authentication (email/password, Google, or Apple sign-in).
- App-Generated Content: Recipes, shopping lists, meal plans, community posts, and other content you create are stored securely in Google Firebase Firestore and are associated with your account.
- AI-Generated Content: When you use AI meal planning features, your meal type preferences are sent to OpenAI’s API to generate recipe suggestions. We do not send personal information to OpenAI.
- Usage Data: We collect information about how you interact with our app, including device information, browser type, and app usage metrics through Firebase Analytics.
- Images: Recipe images and community post photos you upload are stored securely in Firebase Storage.
- Location Data (optional): If you enable a Store Arrival Reminder, KitchenPilot collects the precise location you choose for that grocery store and securely syncs that saved store location to your account. On Android, KitchenPilot may access location in the background so the reminder can work when the app is closed or not in use.
2. How We Use Your Information
- To provide and maintain KitchenPilot’s core features (recipes, shopping lists, meal plans)
- To sync your data in real-time between the mobile app and website
- To generate AI-powered meal suggestions
- To enable community features (sharing posts, reactions, comments)
- To detect arrival at stores for which you explicitly enable Store Arrival Reminders and notify you when unchecked items remain
- To improve our app features and user experience
- To respond to inquiries and provide support
- To protect the security and stability of our systems
3. Store Arrival Reminders and Location
Store Arrival Reminders are optional and disabled by default. When you enable one for a grocery store, KitchenPilot uses an operating-system geofence around the saved store location to detect your arrival, including while the app is closed or not in use. The saved store coordinate is linked to your account and stored in Firebase so your chosen stores can sync across your devices.
KitchenPilot does not continuously track your movement, create or store a location history, or use location for advertising or analytics. Geofence entry is processed by your device solely to deliver a reminder when unchecked shopping-list items remain. You can disable the reminder for any store in KitchenPilot or revoke location access in your device settings. Deleting a store or your account removes its saved location according to our normal deletion process.
4. Data Storage and Security
Your data is stored in Google Firebase (Firestore, Authentication, and Storage), which provides enterprise-grade security including encryption at rest and in transit. We implement reasonable technical and administrative safeguards to protect your data from unauthorized access or disclosure.
5. Third-Party Services
- Firebase (Google): Authentication, database, storage, analytics, and storage of saved store locations
- OpenAI: AI meal plan generation (no personal data is shared)
- Vercel: Website hosting and deployment
We do not sell or rent your personal data to third parties.
6. Your Rights and Choices
- You can view, edit, or delete your recipes, shopping lists, and meal plans at any time
- You can update your display name and account preferences
- You can disable Store Arrival Reminders for individual stores and revoke location permission in your device settings
- You may request to access, export, or delete your personal data by contacting us at flightcrew@pilotsuite.design
- You can delete your account, which will remove all associated data
7. Children’s Privacy
KitchenPilot is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such data, please contact us to have it removed.
8. Updates
We may update this Privacy Policy occasionally to reflect changes in legal, operational, or technological practices. All updates will be posted to this page with an updated effective date.
